NightShiftAgents for Landscaping
Renewals out in February. Estimates followed up in April. Invoices chased in July. Every year, without you remembering.
A landscaping company lives on a calendar of seasons and nobody has time to work the calendar during the season. NightShiftAgents reads Jobber, LMN or Aspire, sends maintenance renewals before the first mow, follows up every estimate, chases invoices, and reports margin by crew and service line weekly. It does not schedule crews, route trucks or estimate a property.
Night Shift is set up for your industry. Written for the owner of a landscaping or lawn-care company. Runs on your machine, with your accounts.
The problem
The season starts before the office is ready for it, every year.
- 01
Maintenance renewals go out in March, after two competitors have already knocked on the door with a lower number.
- 02
You send forty estimates in April. You follow up on the ones you remember. The rest signed with someone who called back.
- 03
Invoices from June get sent in July and paid in September. Payroll is every Friday regardless.
A working day
The same day, before and after.
Before
- 5:30 AM
Crews out. Phone starts. Two new estimate requests from last night's forms.
- 10:00 AM
Property visit for an estimate. Three more requests came in while you were there.
- 1:00 PM
Office manager asks about renewals for the 140 maintenance accounts. Letter not written.
- 4:00 PM
Estimate from two weeks ago. Customer emails: 'went with someone else, never heard back.'
- 8:30 PM
Invoicing. Twelve jobs from last week. Get through five.
After install
- 5:30 AM
Morning brief. Last night's two estimate requests got replies with your site-visit windows. Both booked.
- 10:00 AM
Property visit. The three new requests are answered and in the queue before you are back in the truck.
- 1:00 PM
Renewals for 140 accounts were drafted in January with each account's current price and the increase rule you set. Approved in one batch. Sent February 1.
- 4:00 PM
Every open estimate gets a day-3, day-10 and day-21 follow-up. The two-week-old one got two touches and signed.
- 8:30 PM
Invoices for last week's completed jobs were drafted from Jobber at 6 PM. You approved twelve in three minutes.

Read this part
What it does not do.
- It does not schedule or route crews.
- It does not estimate a property. It books the site visit; you price it.
- It does not order materials or manage the yard.
- It does not send anything without your approval — unless you switch that agent to auto-send. Renewal pricing always requires approval.

- Always. Six-line card.
An office manager answers the phone and handles a complaint. The agents do neither. They make sure the renewals, estimates and invoices go out on time, which is where a landscaping company's margin actually leaks.
Market figures are typical ranges for this role, not a quote. Your Agent Improvement Plan uses your numbers.
The catch
What owners in your industry ask first.
Questions
Frequently asked.
- Does it handle snow contracts?
- Yes. Snow is a service line with its own renewal date, campaign and margin tracking.
- How does the renewal increase rule work?
- You set it in the company file: flat percent, cost-based, or per account. The agent drafts every renewal with the number and shows you the batch before anything goes out.
- What if hours are not logged on a job?
- That job's margin shows as unavailable in Friday's report, listed so a crew lead can fix it.
- Can it work with a spreadsheet instead of Jobber?
- If your customer and job list is in a spreadsheet in your file storage, yes, with fewer agents. The Agent Improvement Plan says which.
- How fast is setup?
- Estimate reply within ten days. Renewals need your account list and pricing confirmed, usually by week three.
Under 15 minutes of questions. Then your landscaping night shift runs.
You get a written Agent Improvement Plan the same day: which of the agents above, in what order, and what it costs. The industry is already filled in.
