NightShiftAgents for HVAC & Trades

The 9 PM call gets answered. You find out at 6.

A missed after-hours call in July is often a full system replacement that went to whoever picked up. NightShiftAgents drafts the reply in your voice within two minutes, books the estimate window from your calendar, and puts the whole thread in your Drafts before you wake up. It sits on top of ServiceTitan, Jobber or Housecall Pro. It does not replace them.

Night Shift is set up for your industry. Written for the owner of an HVAC, plumbing or electrical company. Runs on your machine, with your accounts.

The problem

You run the trucks. Nobody runs the office after 5.

  1. 01

Google Local Services sends the lead at 8:52 PM. The homeowner calls three companies. The first one to answer with a real time window gets the job. That is rarely you, because you were under a house.

  2. 02

Maintenance-plan renewals go out when someone remembers. The first cold week comes and goes and the reminder that should have gone out in September goes out in November, after the no-heat calls have already started.

  3. 03

You know which technicians are profitable by feel. You do not know it by job type, by month, in a spreadsheet you could show your accountant, because nobody has time to build that spreadsheet.

A working day

The same day, before and after.

Before

  1. 5:40 AM

Check phone. Two voicemails from last night. One is a no-cool call that already booked with someone else.

  2. 7:15 AM

Dispatch board. Four techs, six calls, one truck down. The estimate from Tuesday still has not been followed up.

  3. 12:30 PM

Eat in the truck. Reply to a three-day-old Google review while waiting for a part.

  4. 3:00 PM

Office manager asks whether the fall tune-up email is going out. It is not written.

  5. 6:45 PM

Home. Invoices from last week still unsent. Open QuickBooks, close QuickBooks.

  6. 9:10 PM

Phone buzzes. New LSA lead, heat pump replacement quote. You will call them in the morning. They will have called someone else.

After install

  1. 5:40 AM

Morning brief on the phone. Three overnight leads, all replied to within two minutes. Two chose a window. One is waiting on a callback about financing.

  2. 7:15 AM

Dispatch board, same as before. Tuesday's estimate got its follow-up at 8 AM yesterday and the customer replied 'yes, Thursday.'

  3. 12:30 PM

Eat in the truck. The review reply was drafted last night; you approved it in ten seconds from the brief.

  4. 3:00 PM

The fall tune-up campaign is queued for the first week the forecast drops below 45. It asked you to approve the copy on Monday. You did.

  5. 6:45 PM

Home. Overdue invoices got their reminder at 9 AM. Two paid today. The ledger is current through last night.

  6. 9:10 PM

Phone buzzes. New LSA lead. You do not look. The reply is in Drafts before the homeowner has finished calling the second company.

Your night shift

The HVAC & Trades roster.

Each agent runs on a schedule and leaves a file. Your Agent Improvement Plan picks which ones go live first.
  • After-hours lead reply

    every 2 min · 5 PM–7 AM

Watches LSA, Angi, your web form and your inbox. Drafts a reply in your voice with the two next available estimate windows from your calendar and the questions you always ask (system age, square footage, gas or electric). Threads it to the original inquiry in your Drafts. Never sends.

  • Review request and review response

    daily · 8 AM

Requests a review the morning after a closed job, only from customers whose invoice is paid. Drafts a plain, specific response to each new Google review, good or bad, and holds it for your approval.

  • Seasonal maintenance-plan campaign

    twice a year · weather-triggered

Builds the tune-up campaign in August and February, then sends it the first week the 10-day forecast crosses your temperature trigger, not on a calendar date. Segments by system age and plan status.

    campaign-fall-tuneup.md
  • Google Business Profile posting

    Mon · Wed · Fri

Three posts a week from real jobs: a before/after from the tech's photos, a seasonal tip, a service-area note. Writes the post, picks the photo, queues it. Never names a customer.

    gbp-queue.md
  • Weekly job-margin report

    Fridays · 1 PM

Pulls completed jobs from your field software and cost from your ledger. Gross margin by technician and by job type for the week and trailing 13 weeks. Any job with missing cost data is marked unavailable, not zero.

    job-margin-week-37.xlsx
  • Overdue-invoice follow-up

    weekdays · 9 AM

At 15, 30 and 45 days, drafts a reminder that references the job and the invoice number. Escalates tone gently. Anything over your write-off threshold comes to you as a decision instead.

What it hands you

The three files that matter most here.

  • After-hours lead replies, threaded and waiting in Drafts
  • Weekly job-margin report by tech and job type
  • Seasonal campaign and GBP posts, scripted

Previews show the file format with sample rows. They are not a customer's data.

Sits on top of

The software you already run.

No migration. The agents read from these and write files and drafts back to you.

Read this part

What it does not do.

You have been sold a platform that claimed to replace ServiceTitan. This is not that. It reads from your field software and your inbox. It writes files and drafts. That is the whole job.
  • It does not dispatch crews or move anything on your dispatch board.
  • It does not estimate jobs or price a system. It books the estimate visit; your comfort advisor prices it.
  • It does not route trucks.
  • It does not manage inventory, order parts or touch your truck stock.
  • It does not send a single email, text or review reply without your approval — unless you switch that agent to auto-send.
  • It does not replace your office manager. It gives them the morning back.

Always. Six-line card.

A coordinator can answer the phone, run a trade-show booth and manage a relationship with a local sponsor. The agents cannot. The after-hours lead reply alone usually covers the fee: one recovered replacement a quarter is the whole year.

Market figures are typical ranges for this role, not a quote. Your Agent Improvement Plan uses your numbers.

The catch

What owners in your industry ask first.

Questions

Frequently asked.

Does it work with Jobber and Housecall Pro, or only ServiceTitan?
All three, plus the inbox and calendar you already use. If your field software has no usable connection, the agents work from your email, calendar and QuickBooks and we tell you in the Agent Improvement Plan exactly what is and is not reachable.
What happens if the lead comes in by phone, not by form?
If your phone system produces a voicemail transcript or a missed-call notification in your inbox, the agent picks it up from there. If it does not, the agent cannot see it. We check this in the intake and say so plainly.
How does the job-margin report get cost data?
From your ledger, which the finance agents reconcile nightly from your bank feed and processor. A job with labor logged but no material cost yet is shown as margin unavailable, with a note. It is never shown as 100 percent.
Can it text customers?
Only if your existing system sends texts and exposes that to us. Most field software does. The agent drafts the text; sending follows the same approval rule you set for email.
How long before the first agent is running?
Seven to ten days from the install call for the after-hours lead reply. The rest of the roster comes online one agent at a time over the following three weeks, each one with your approval on its schedule.

Under 15 minutes of questions. Then your hvac & trades night shift runs.

You get a written Agent Improvement Plan the same day: which of the agents above, in what order, and what it costs. The industry is already filled in.
